Form submissions overview

Forms RB stores all submitted form data directly inside WordPress, allowing you to review, manage, and delete submissions without relying on third-party services.

This article provides an overview of how form submissions (records) work and how they are displayed in the admin interface.


What are form submissions

Each time a visitor submits a form, Forms RB creates a record containing all submitted field values.

A submission includes:

  • Field values (name, email, message, etc.)
  • Submission date and time
  • User IP address
  • Notification status
  • Agreement confirmations (if enabled)

All records are linked to the specific form they belong to.


Records panel

Each form includes a Records panel inside the form editor.

The Records panel displays:

  • A list of submitted records
  • Submission timestamps
  • Read / unread status
  • Actions for viewing or deleting records

If no submissions exist, the panel shows a “No data” message.


Refreshing submissions

The Refresh button allows you to reload the list of submissions manually.

This is useful when:

  • New submissions arrive while the page is open
  • You want to ensure the latest data is displayed

Read and unread status

Each submission has a read indicator:

  • Unread submissions are visually highlighted
  • Opening a submission automatically marks it as read

You can filter the list using the Show only unread option to focus on new messages.


Viewing submission details

Clicking a submission opens a detailed view dialog.

The detailed view displays:

  • All submitted field values
  • Agreement confirmations
  • Notification delivery status
  • User IP address
  • Submission ID and timestamp

This allows you to review the full context of each message.


Deleting submissions

Forms RB provides multiple ways to delete records:

  • Delete individual submissions
  • Delete selected submissions
  • Delete all submissions for a form

Deletion actions are permanent and cannot be undone.


Submission storage

All form submissions are stored locally in your WordPress database.

Benefits:

  • Full control over your data
  • No external services required
  • Works offline and in restricted environments

Notifications status

Each submission includes information about notification delivery.

If notifications are not configured or fail to send, the record will display a status message explaining the issue.
